Data Protection Policy (Last updated: 9 November 2022)

The International Music Institute Darmstadt (IMD), a cultural institute of the City of Darmstadt, records, stores, processes and uses data in the course of its duties, e. g. as presenter of the Darmstadt Summer Course, or as a public library and archive. IMD undertakes to protect the privacy of all persons whoentrusted us with their data. As a public body, the City of Darmstadt, and therefore IMD too, is subject to extensive data protectionn regulations. This is based on applicable legal regulations like the General Data Protection Regulation (GDPR), the Hessian Data Protection and Information Act (HDSIG) and the German Telemedia Act (TMG).

1. Transmission of personal data when using our website

Our website is hosted by the company ALL-INKL.COM – Neue Medien Münnich (Hauptstraße 68, D-02742 Friedersdorf, Germany) on our behalf and according to our specifications in a data processing contract.

By accessing our website internationales-musikinstitut.de / darmstaedter-ferienkurse.de your web browser automatically transmits information to us, more specifically to the server at ALL_INKL.COM. These data are stored in the so calles server log files. They are as follows:

– type and version of web browser
– operating system
– URL of the previously visited page
– IP address of the inquiring computer
– transmission status
– date and time of the server inquiry

These data are not correlated with other sources. The storage is effected for statistical and safety purposes as well as for optimizing our website.

Beyond that, we only collect personal data via our website if you provide us with such data voluntarily, for example by completing and submitting an online form.

1.1 Vimeo

Our website uses features provided by the Vimeo video portal. This service is provided by Vimeo Inc., 555 West 18th Street, New York, New York 10011, USA.

If you visit one of our pages featuring a Vimeo plugin, a connection to the Vimeo servers is established. Here the Vimeo server is informed about which of our pages you have visited. In addition, Vimeo will receive your IP address. This also applies if you are not logged in to Vimeo when you visit our website or do not have a Vimeo account. The information is transmitted to a Vimeo server in the US, where it is stored.

If you are logged in to your Vimeo account, Vimeo allows you to associate your browsing behavior directly with your personal profile. You can prevent this by logging out of your Vimeo account.

2. Further recording of personal data

We furthermore record, store, process and use peronal data in the following situations where we shall explicitly draw your attention to this at an appropriate point:

– when you register/apply for the Darmstadt Summer Course
– when you book tickets for our events
– when you use our library and archive
– when you get your press accreditationn as a journalist

3. Purpose

IMD uses the personal data provided by you (e. g. form of salutation, name, address, phone numer or e-mail address) to respond to your inquiries, process your orders, grant you access to specific information or offers or fulfill contracts or agreements.

For statistical purposes, we also record dates of birth and nationality of participants of the Darmstadt Summer Course.
For documenting a justified reserach interest, we collect research topics and contact data of persons who access and use the IMD archival materials.

4. Earmarked use

IMD will record, store, process and use the personal data provided by you only for the given purposes.

5. Transmission of data

Generally, we shall not transmit your personal data. In the following cases, though, it can be necessary:

In an application process, for instance for Darmstadt Summer Course projects or competitions, applicants provide IMD with data and materials voluntarily. These must be transmitted to tutors and / or juriy members that are involved in the project and named in the respective call or project description.

If necessary for organizational reasons, IMD will transmit contact data of Darmstadt Summer Course participants to tutors and external members of the Darmstadt Summer Course team. They are informed about our privacy policy and requested to delete these data when the project is finished.

Beyond that, we will only transmit your personal data where required by law or if you have given your permission. We will not transfer your data to third parties for commercial purposes.

6. Processor

IMD has concluded contracts with the following partners for the processing of data, which handle data in accordance with the GDPR:

ztix is commissioned by IMD to collect and store customer data during booking processes and to make it available exclusively to IMD.

7. Duration of storage

As an administrative unit of the City of Darmstadt, the IMD is obliged to retain data for a period of 10 years.

Contact details of participants and contributors to the Darmstadt Summer Course must also be stored by the IMD beyond this period, for example in order to be able to contact the originators and those involved in the production in the case of future use of documentation of artistic projects.

The Darmstadt Summer Course and the IMD have a history of over 70 years, many of the artists involved have written music history and continue to write it. There is great research interest in information about artists’ involvement in the Summer Course and the time of their participation or activity. We would like to meet this research interest and store information about this (e.g., in the form of participant lists) in the archive, provided that the storage and evaluation is not objected to. The use of this information is regulated by the Hessian Archive Act, the Hessian Municipal Code and the archive statutes of the city of Darmstadt.

8. Information and revocation

Since May 25, 2018, the European Union’s General Data Protection Regulation (GDPR) has expressly strengthened your rights towards all entities that process your data, including IMD as the cultural institute of the City of Science Darmstadt.

In particular, you have the right to obtain information about the personal data stored about you, to correct incorrect data and to delete data that is no longer required – insofar as this data is not required to be retained by law. You can also revoke your voluntary consent to the storage and processing of your data at any time.
